Privacy Policy — MIS Technolabs

This Privacy Policy explains how MIS Webform, a WordPress form builder plugin developed by MIS Technolabs, handles information submitted through forms created using the plugin.

MIS Webform allows website administrators to create and publish forms that may collect information such as names, email addresses, telephone numbers, dates, URLs, messages, files, and other information configured by the website administrator.

The website owner who installs and configures MIS Webform is responsible for determining what information is collected, why it is collected, how long it is retained, and how it is handled.

1. Information Collected Through MIS Webform

When a visitor submits a form created using MIS Webform, the information entered into the form may be stored by the website.

Depending on how the form is configured, this may include:

  • Name
  • Email address
  • Telephone/mobile number
  • Address or location information
  • Messages or comments
  • Dates and times
  • URLs
  • Selection fields
  • Ratings
  • Other custom form fields
  • Uploaded files
  • Signature information
  • Any other information intentionally entered by the visitor

The exact information collected depends on the fields configured by the individual website administrator.

2. Submission Storage

MIS Webform stores form submissions in the WordPress site's database.

Website administrators can access submissions through the WordPress administration area and may be able to:

  • View submissions
  • Delete submissions
  • Export submissions to CSV
  • Use submissions for legitimate business or operational purposes

MIS Webform does not transmit form submissions to MIS Technolabs' servers as part of its normal submission-storage functionality.

The website owner is responsible for determining how submitted information is used and retained.

3. IP Address and Technical Information

MIS Webform records the visitor's IP address when a form is submitted.

The plugin may also store technical information associated with the submission, including the visitor's browser user-agent information.

This information may be used by the website administrator for purposes such as:

  • Spam investigation
  • Abuse prevention
  • Security monitoring
  • Submission troubleshooting
  • Rate-limiting and protection against excessive submissions

4. Uploaded Files

MIS Webform supports file-upload fields.

If a form contains a file-upload field and a visitor uploads a file, the uploaded file may be stored on the website's server.

The plugin stores uploaded files in a protected, non-public location rather than intentionally exposing them as publicly accessible files.

The website administrator is responsible for configuring:

  • Allowed file types
  • Maximum file size
  • Who can access uploaded files
  • How long uploaded files are retained
  • When uploaded files should be deleted

Visitors should not upload confidential or sensitive information unless the website explicitly requests it and provides appropriate privacy protections.

5. Email Notifications

MIS Webform can send email notifications when a form submission is received.

Depending on the configuration, notification emails may contain information submitted through the form.

Email recipients may include:

  • The website administrator
  • A designated notification address
  • An email address configured by the website owner
  • An email address collected through a form field, where supported by the plugin configuration

Once information is sent through email, its handling is subject to the privacy and security practices of the email provider and recipient.

MIS Technolabs does not control the privacy practices of third-party email providers used by individual website owners.

6. Google reCAPTCHA

MIS Webform supports Google reCAPTCHA v2 as an optional spam-protection mechanism.

reCAPTCHA is disabled by default and is only used when the website administrator explicitly enables it and configures the required Google reCAPTCHA credentials.

When reCAPTCHA is enabled:

  • Google's reCAPTCHA JavaScript is loaded on pages containing the relevant form.
  • Google may receive information associated with the visitor's interaction with reCAPTCHA.
  • When the form is submitted, the plugin sends the reCAPTCHA response token and the visitor's IP address to Google's verification endpoint.
  • Google processes this information to determine whether the submission is likely to originate from a human or automated system.

Google reCAPTCHA is subject to Google's own terms and privacy practices.

For more information, visitors should review:

Google Privacy Policy

Google Terms of Service

If reCAPTCHA is not enabled for a particular form, MIS Webform does not load or use Google's reCAPTCHA service for that form.

7. Honeypot Spam Protection

MIS Webform supports honeypot-based spam protection.

A honeypot is a hidden form field designed to identify automated submissions.

The honeypot mechanism operates within the website and does not require sending submission data to an external spam-detection service.

8. Data Export

MIS Webform provides functionality allowing authorized website administrators to export form submissions to CSV.

CSV exports may contain the information collected through the relevant form.

The website administrator is responsible for securely handling exported files and deleting them when they are no longer required.

9. Personal Data Export and Erasure

MIS Webform integrates with WordPress's built-in Personal Data Exporter and Personal Data Eraser functionality.

Where supported by the site's WordPress privacy tools, a person may request:

  • A copy of personal information associated with their email address
  • Deletion of submissions associated with their email address

The website administrator is responsible for responding to privacy requests and determining whether a request can or must be fulfilled under applicable law.

10. Data Retention

MIS Webform does not automatically delete submissions after a fixed period.

Form submissions, including associated technical information, may remain stored until the website administrator deletes them.

Website administrators should establish an appropriate retention period based on:

  • The purpose for collecting the information
  • Applicable privacy laws
  • Business requirements
  • Regulatory requirements
  • The sensitivity of the collected information

Website administrators should periodically review and delete submissions that are no longer required.

11. Plugin Deactivation and Uninstallation

Deactivating MIS Webform does not automatically delete forms or submissions.

By default, deleting the plugin also does not automatically remove stored forms and submissions.

MIS Webform provides an optional setting that allows the website administrator to delete plugin data when the plugin is completely uninstalled.

The website administrator is responsible for selecting the appropriate data-retention and deletion option.

12. Database Security

MIS Webform stores submissions in dedicated database tables within the website's WordPress database.

Access to stored submissions is restricted through WordPress administrative permissions and the plugin's authorization mechanisms.

Website administrators should maintain appropriate WordPress security practices, including:

  • Strong administrator passwords
  • Updated WordPress installations
  • Updated plugins and themes
  • Appropriate user permissions
  • Secure hosting
  • HTTPS where appropriate
  • Regular backups

No online system can guarantee absolute security.

13. Third-Party Services

MIS Webform's normal form-storage functionality does not require sending submissions to an external MIS Technolabs server.

The plugin's documented external service integration is optional Google reCAPTCHA.

The plugin does not provide built-in Google Sheets synchronization, Google Sheets API integration, or OAuth-based Google Sheets access.

If a website administrator uses other third-party WordPress plugins or services alongside MIS Webform, those services may independently process information according to their own privacy policies.

14. Cookies and Local Browser Technologies

MIS Webform itself does not require a dedicated third-party tracking system for storing form submissions.

However, other WordPress components, plugins, themes, analytics services, or third-party integrations installed on the website may use cookies or similar technologies.

If Google reCAPTCHA is enabled, Google may use technologies associated with its reCAPTCHA service.

The website owner should document any additional cookies or tracking technologies used by the complete website.

15. Children's Privacy

MIS Webform is a general-purpose form-building tool and is not specifically designed to collect personal information from children.

Website owners should not knowingly collect children's personal information unless they have an appropriate legal basis and comply with applicable privacy requirements.

16. Third-Party Links and Services

A website using MIS Webform may contain links to third-party websites or services.

MIS Technolabs is not responsible for the privacy practices, security, or content of third-party websites.

Visitors should review the privacy policies of third-party services before providing personal information.

17. Website Owner Responsibilities

MIS Webform is a tool that enables website owners to create and operate forms.

The website owner is responsible for:

  • Determining what information is collected
  • Providing appropriate notice to visitors
  • Obtaining consent where required
  • Establishing a lawful basis for processing
  • Protecting collected information
  • Managing access to submissions
  • Establishing appropriate retention periods
  • Responding to privacy requests
  • Deleting information when required
  • Maintaining an appropriate privacy policy

MIS Technolabs does not determine how an individual website owner uses information collected through their forms.

18. Data Breaches

In the event of a suspected or confirmed security incident involving information collected through MIS Webform, the website owner should investigate the incident and take appropriate measures under applicable privacy and data-protection laws.

Depending on the nature of the incident, this may include:

  • Securing affected systems
  • Investigating unauthorized access
  • Identifying affected information
  • Restricting further access
  • Restoring systems from secure backups
  • Notifying affected individuals where legally required
  • Notifying relevant regulatory authorities where legally required

19. Changes to This Privacy Policy

This Privacy Policy may be updated from time to time to reflect changes to MIS Webform, website functionality, third-party services, legal requirements, or privacy practices.

The updated version will be published with a revised Last Updated date.
